Agents and knowledge
Agents are configured teammates with a purpose, instructions and scoped capabilities. They use the same permission and evidence boundaries as the workspace.
Configure a teammate
Open Agents and review its audience, instructions, skills and allowed context. Give it one clear responsibility and explain when a person must take over. Access to a conversation is distinct from access to connected records or provider tools.
Test changes with fictional data and a small, explicit scenario. Check the resulting draft, source references and approvals before using it in real work. A saved configuration is not evidence that a scheduled job or provider call has run.
Keep your club information current
Use Knowledge for approved information that staff or agents should reference. Start with your opening hours, how beginners can join, equipment provided and who to contact when staff cannot answer a question.
- Review the source and confirm it is current.
- Write the answer in language you would use with a player.
- Check who can see it before publishing.
- Ask Operator a sample question and check the answer against the approved document.
Keep an owner for each policy. Review it when prices or club arrangements change.
Do not put credentials, customer secrets or private payroll information into general instructions. An agent should state when a source is missing or outdated.
Automatic Inbox reviews
Where enabled, Operator can prepare recommendations for eligible Inbox conversations. Check the status in Inbox and keep a person responsible for reviewing the result. Saved instructions alone do not turn automatic review on; ask your administrator to check the configuration and AI allowance.
Review website research before publication
Where enabled during setup, website research prepares source-backed suggestions and identifies missing policies. Inspect each source, edit the wording and select its visibility before publishing. Suggestions do not become approved Knowledge automatically. Check the retained publication result, then verify that Operator can reference the intended approved document.
